Albro Virtual Assistance (Kirsty Park T/A Albro Virtual Assistance) is fully registered with and compliant with the UK Information Commissioner’s Office (ICO). We adhere to all requirements under the Data Protection Act 2018 and UK GDPR.

  • Financial information (invoices, payment records)

6. Artificial Intelligence

We use Claude (Anthropic) as our AI tool to support our work — for example, drafting and editing content, research and summarising information, transcription, and administrative task automation. Anything AI-assisted is reviewed by a human before use. We do not put your personal data into AI applications that use it to train or generate data sets for our use or anyone else’s. 7. Data Retention

We retain personal data for 7 years, or for the length of time set out in our records retention schedule, whichever is applicable to the type of record:

  • Client records: retained for 7 years (for tax, accounting, and insurance compliance)

  • Marketing data: retained until you withdraw consent

  • Project files: as agreed in contracts, or until no longer needed

 

8. International Transfers

Some of our data is held with mainstream service providers based outside the UK/EEA, including in the USA and Canada. Both are recognised by the UK Government as providing an adequate level of data protection, so no additional safeguards are required for these transfers. Where we use any provider outside an adequate country, we put appropriate safeguards in place (such as UK GDPR-approved standard contractual clauses).

 

9. Automated Decision-Making

We do not use automated decision-making or profiling tools on your data. Any decisions affecting you are made by a person.

 

10. Children’s Data

We do not knowingly collect personal data about individuals under 16.

 

11. Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data

  • Request correction or deletion

  • Restrict or object to processing

  • Data portability

  • Withdraw consent

If you have a complaint about how we handle your personal data, please contact us in the first instance at kirsty@albrova.com. We do not currently have a separate online complaints form. If we can’t resolve your concern, you can raise it with the ICO at ico.org.uk.
